BILINGUAL RECEPTIONIST/ADMINISTRATIVE ASSISTANT NEEDED-TEMP to HIRE Front Desk responsibilities for Corporate Office in the coordination of telephones, transfers, distribution of mail, faxes, packages, office supplies, etc.Answer and transfer all incoming phone calls to proper party/department extension; when transferring calls to an Executive member, please inform by intercom who is requesting to be connected.Responsible for checking hot line extensions, W2s and unassigned extensions.Handling of W2s incoming calls/inquiries by filling out the W2 short form and give to Payroll Dept.Receive, sort, date and distribute all incoming mail and packages to designated parties and per instruction in front desk manual.Collect incoming faxes, distribute accordingly and transmit outgoing faxes toappropriate party/office.Responsible for updating staff mailboxes and fax folders as needed.Order, tracking and distribute store office supplies.Assisting others with minor problems with copy, fax machine and postage meter. Also, assist with the occasional translation/interpreting of calls or documents.Make copies of mail, faxes, memos, etc., as required and noted on front deskmanual before distributing.Performing Administrative duties for Executive Vice President includinganswering, screening and handling its phone calls.Handling and responding to EVP incoming mail, e-mail as needed.Maintaining EVP daily schedule, appointments and travel plans.Organizing and maintaining EVP filing system including creating filefolders/binder for new projects as needed.Preparing and updating various Maintenance reports.Handling of vendors accounts/spreadsheet.With prior approval from Senior Executive Administrator, assist in completingexisting inter-departmental projects.In addition, initiate new inter-departmentprojects. REQUIREMENTS: -Minimum of 2 years of Office/Clerical experience w/multi-line phone system required Spanish Speaking/Writing is required; MS OFFICE (Excel, Word, PowerPoint, Internet, Microsoft Outlook, etc.) proficiency a plus. Maintain customer service friendly telephone persona. This is a temp to hire position starting at $15 per hour.
