The Golden office of Kalman Floor Company is seeking a dynamic secretary in its Corporate Management Department. The secretary will provide secretarial, organizational and administrative support for the President, VP, and Project Administrator. The secretary will prepare various documents including for contracts and insurance, perform data entry in back:office software, utilize spreadsheets, and prepare other correspondence. In addition to typing, filing and scheduling, the secretary will organize and maintain all files kept on:site whether in paper or electronic format. The secretary will provide additional assistance such as helping with advertising, trade shows, shipping, holiday arrangements, mail, obtaining contractor permits and processing contractor licenses. Other duties include scheduling, accounting type data management, travel arrangements, answering calls, shipping, and document scanning.

The job responsibilities will include the above and will not be limited to the following items:
:Prepare correspondence, transmittals, contracts, other documents and/or memoranda in draft and in final form from handwritten material, typed copy and transcription files.
:Electronic filing and complete familiarity with computers and networks.
:Set up, maintain, and ensure that files are kept current including classifying, arranging files, filing, and storing information.
:Monitor, prioritize, organize, and facilitate daily workflow in order to meet project deadlines. This includes all administrative tasks including scheduling meetings, calendar management, processing expense reimbursements etc.
:Maintain e:mails and/or documents on DMS.
:Communicate with other departments as well as regional and field offices as needed.
:Open New contracts systems, as requested, and arranges for prompt submittal and documentation processes.
Your Skills:
:Ability to communicate effectively, both orally and in writing.
:Knowledge of business English, spelling, punctuation, grammar and basic construction terminology.
:Knowledge of front office practices and procedures.
:Knowledge of various electronic filing procedures for applicable practice areas.
:Skill in the use of software systems such as Microsoft Office, Adobe Acrobat, and AutoCad.
:Skill in typing accurately at a rate of 70 + words per minute.
:Ability to organize and prioritize tasks, while working effectively under pressure to meet deadlines.
:Ability to establish good rapport with attorneys, clients, and other employees.
:Ability to understand and follow written and oral instructions.
:Ability to proofread a variety of documents and to pay attention to detail.

The Basics:
:5+ years of progressively responsible and varied administrative secretarial experience.
:Familiarity with general processes, systems philosophies, structure, methods and approaches of mid:to:large sized firms.
