The Development Administrative Assistant provides administrative support for Development staff, including gift processing and recordkeeping of all contributed revenue. Specifically, this position is responsible for maintaining the departmentA?s online fundraising database (Donor Perfect Online) as well as the electronic and paper files related to all gifts solicited and received. The Development Administrative Assistant works closely with Development staff to ensure accurate and timely reporting and correspondence for grants and donor cultivation and stewardship. This position also assists with the coordination and execution of special events/fundraisers and community events.Grants Management Support Maintain and manage the development/donor management database; enter relevant data from grant applications and reports, enter and track contributions; merge donor correspondence, and generate regular and special reportsProvide support for the grants team to ensure a smooth, streamlined workflow from grant application through grant closeout and assist with research of new funding prospectsMaintain electronic and physical files that will be used to document all major actions from grant application through closeoutFacilitate grant activity review meetings as neededProcess gifts including acknowledgement letters, and assist with funder/donor correspondence Community Relations and Donor Support Support the planning and execution of Jefferson CenterA?s two main fundraising events per year: Spring Gala and Summer Putt Your Stuff Mini:Golf TournamentParticipate in the planning and execution of Jefferson Center staff and community events, including but not limited to the annual Helping Kids Thrive Parenting Conference and Staff Holiday PartyProvide administrative support for community relations projects assigned by Manager of Events and Donor Relations, including but not limited to 9Health Fair and resource fair participationSupport Jefferson CenterA?s Speakers Bureau including tracking speaking engagements, reimbursing speakers, and corresponding as needed with requesting groupsSupport and track non:clinical volunteer activitiesCoordinate the Art on the Walls program Other Participate in Marketing and Development Department meetingsExhibit enthusiasm, courtesy, adaptability, flexibility, and spirit of cooperation in the work environmentMaintain effective interpersonal relations with consumers, peers, subordinates, upper management, visitors, and the general publicMaintain positive interactions with clients, community members, and staffRespond promptly (within one business day) to phone calls, emails, and other requestsDemonstrate a willingness and ability to work nights and weekends as necessaryMust have reliable transportation to attend meetings and eventsOther duties/projects as assigned Note: Employees are held accountable for all duties of this job.
