Schedules orthopedic related appointments and procedures for the region. Instructs and explains preparations, nature of examinations, reporting procedures, and other pertinent issues to the patient as within scope outlined and defined by department policy. Consults with physicians, providers and designated health plan staff on appropriateness of outside referrals and processes. Provides scheduling decisions, which improve and maximize overall system efficiencies and increase appropriate utilization. Outcalls and schedules patients for the Acute Orthopedic Clinic (AOC) whom the Orthopedic PA has recommended they come in for additional imaging and consult. Asks patients exam- appropriate screening questions and documents in HC. Serves as a resource to internal and external customers in both outpatient and inpatient arenas. Makes members/patients and their needs a primary focus of one's actions; develops and sustains productive member/patient relationships. Actively seeks information to understand member/patient circumstances, problems, expectations, and needs. Builds rapport and cooperative relationship with members/patients. Considers how actions or plans will affect members; responds quickly to meet member/patient needs and resolves problems.

Essential Responsibilities:
- Schedules for the entire region routine and acute orthopedic related appointments and procedures for multiple facilities and with multidisciplinary providers. Make future clinical appointments for patients as needed when they are present in the office as well as inbound and outbound telephone processes. Coordinates the availability of multiple providers and locations. Confirms the correct procedure or appointment to be scheduled as necessary by chart or referral review.
- Uses knowledge of indications and contraindications. Confers with the Provider or immediate supervisor as needed. Reviews the patient care history as necessary. Uses scheduling guidelines and physician matrix to include documentation in appointment notes of indications that may prompt review. Interviews the member regarding past surgeries, trauma and patient complaint.
- Proactively schedules each area to ensure all available time is used appropriately by scheduling sequentially when possible, and by utilizing the wait list and cancellation list. Makes sure supervisor is aware of all physician schedule changes in clinic. Reconciles provider schedules when errors take place. In charge of contact patients for rescheduling per department guide lines. Determines what is urgent and emergent with the help of the provider, supervisor, or appropriate nursing staff.
- Incorporates urgent and emergent cases into the schedule and notifies appropriate personnel. Instructs patients on the appropriate preparation for appointments and procedures as appropriate.
- Facilitates referrals for orthopedic related procedures and appointments by consulting with provider or nursing staff. Consults with designated provider to provide urgent or emergent appointments for patients. Serves as a resource on appropriate procedures and other information for staff and other departments requesting Orthopedic related services.
- Direct patient disability and FMLA paperwork to appropriate personnel to ensure timely completion.
- Maintains and enhances knowledge base necessary to identify and make scheduling decisions. Remains informed on new technologies and their implications for patients and the Orthopedic Department. Maintains proficiency in the use of the KP HealthConnect system and current telephone techniques.
- Performs other duties as assigned. These will include but are not limited to, the answering of incoming telephone calls with appropriate disposition and face to face interactions with members when presenting for care.

Basic Qualifications:
- Minimum two (2) years of experience scheduling physicians/surgeons.
- High School Diploma OR General Education Diploma (GED) required.
License, Certification, Registration

Additional Requirements:
- Ability to work effectively with providers, patients, support staff and other personnel to coordinate orthopedic schedules, which requires a high degree of accuracy and attention to detail.
- Completion of courses in basic medical terminology and anatomy, or demonstrated knowledge.
- Previous experience using a computer terminal required.
- Excellent customer service skills required. Effective verbal, written, interpersonal and problem solving skills essential. Strong knowledge of all front office activities. Demonstrated customer service skills, customer focus abilities and the ability to understand Kaiser Permanente customer needs.

Preferred Qualifications:
- On-line appointment scheduling or completion of training course highly preferred.
- Minimum of one (1) year of college level courses preferred.
