As the Marketing Administrative Assistant for the Americas, located in our Denver, Colorado office, you will play a crucial role in supporting a multi:cultural marketing team in all efforts. The role works with a team of five, three in Denver, one in Mexico City and one in Sao Paulo as well as numerous stakeholders around the company. We are looking for someone who is highly motivated to contribute to the productivity of their team and provide a high level of service to our internal and external customers. You will take ownership of day to day activities, special projects and proactively support continuous improvement for their team.
The Americas Marketing department serves a variety of demanding business units, colleagues and project; successful candidates must be able to thrive in that environment.
Position Responsibilities:
:Responsibilities include knowledge of department's marketing practices; maintenance of specialized contact data; day to day administration of events; internal and external customer service, support of field marketing
:requests; administration of department's budget and expenses; travel and dining reservations; maintaining collateral inventory and other administrative duties.
:Analyze and respond to inquiries, escalating when necessary.
:Create, maintain and monitor a variety of contact lists for events and special projects, with an extremely high attention to detail, comprehension of the content and complete accuracy.
:Day to day administration of events and programs including placing orders for show services, tracking shipments, monitoring labor, coordinating with third party support, travel planning, restaurant reservations, facilitating company attendance, monitoring registration, tracking RSVP's, answering questions.
:Manage accounting for divisional marketing including administration of budget development, regular reporting of expenses for all marketing accounts, tracking project budgets, processing invoices and expense reports, liaising with accounting team.
:Monitor and distribute team project reports
:Documentation and distribution of processes
:Guide peers in the application of marketing standards, visual identity guidelines and execution and monitor compliance across division
:Maintain divisional photography catalogue in coordination with global photo editor
:Maintain vendor lists and respond to referral requests from local market
:Develop, implement and maintain complete filing system including historical archive of key projects
:Process invoices and expense reports on a routine and timely basis and provide processing instructions to others
:Accurately maintain a real time calendar of events
:Reporting out and providing service to a variety of roles including senior level executives on behalf of the team
Essential Skills and Experience:
:5 years experience with:
:B2B corporation
:Working with business colleagues across various positions, specialties and countries
:Basic budget and accounting practices including expense tracking and reporting
:Administrative support role
:Marketing or Communications department or related agency
:Working with colleagues in graphic design, sales, marketing and communications specialties
:Event related support including invitations, registration and direct contact with guests
Internal customer service Skills:
:Advanced knowledge of Word, PowerPoint and Excel for PC
:Intermediate knowledge of Adobe Acrobat Professional for PC
:Ability and willingness to learn additional company specific accounting practices
:Comfortable interacting with internal and external audiences in fast paced and/o
